Business and Administration Communication

Questions: 1. Discuss the motivation of people who keep quiet and struggle with dispensing bad news.2. After much discussion and even conflick, your workplace team has finally agreed on plan B, but you are firmly convinced that Plan A is a much better option. Your team is preseing Plant B to the whole department, and company executives are present. A vice president asks you for your opinion. Should you (a) keep your mouth shut, (b) try to persuade the team to adopt Plant A, (c) explain why you believe Plan A is a better plan, (d) tell the VP and all present that plan B is not your idea, or (e) discuss one or two points you can agree on in Plan B? Explain Answers: 1: Motivation of Individuals It is empirical that any bad news should never be informed or stated just like a surprise as it might give the listener a lifetime shock or a profoundly negative impact. The subordinates must have a word with their supervisors or the higher authorities so that they can be saved from a sudden depressing surprise. In every organization there are people who continuously face a battle with their job role and working environment but they keep quiet in order to avoid consequences and negative impacts. Employees generally have a fear to lose their set image or getting their image ruined. There is a need that managers must motivate the employees to communicate their issues and solve them on primary stage instead of continuing with them and give a profound negative impact later on (Guffey and Loewy, 2015). Following are the ways by which the silent workers can be motivated to share their issues and resolve them: Detailed feedback There is a need that the managers must provide the employees a detailed feedback on a regular basis so that they can identify where they are lacking and on what subjects they have to work to overcome issues and work effectively. Regular check-ins Usually the managers check the monthly reports of the subordinates or the performance is reviewed on monthly basis and this practice increases the problems and issues faced by the employees as they have to handle that issue for an entire month instead of handling on instant basis (Wall Street Journal, 2016). Talk informally with one-to-one approach The employees go through a pressure of maintain their image in an organization and this tendency obstruct them to share their working problems but if the managers have an informal conversation with the employees then there will be a friendly approach towards the issues of the employees and they will able to discuss them freely. Recognize hard work The hard work must be recognize and appreciate by the manager so that at the time of issues the employer can discuss then on open grounds as they have a confidence in them because of their past recognitions and appreciations (Quast, 2012). Share own experience One of the best approaches towards motivating the quiet and distressed employees is managers sharing their own experiences with the employees. If the manager communicate about their past hurdles and issues they have faced in their work role and the ways in which they have overcome that will boost the morale of the employees to share the issues and resolve them on primary stage (Nicholson, 2003). 2: Why to adopt Plan A The answer chosen here is option C which states that an explanation would be provided that why there is believed that Plan A is a better option. The explanation provided must include face to face communication so that all the team members as well as the VP can be able to understand the concepts and reasons behind choosing the Plan A. Another thing which should be kept in mind while standing in favor of Plan A is to give positive remarks of the chosen plan instead of demonstrating the negative aspects of the Plan B which is selected by the other team members so that there is a healthy discussion at the workplace. The voice and the dialogues must be in a descriptive form instead of argumentative so that the focus can be facilitate over the positive impacts of Plan A rather than on the comparison. If any criticism arises in between the discussion then it should be taken in a graceful and positive manner instead if reacting in a pessimist way. The answer is chosen on the basis of various grounds that Plan A has number of benefits associated with it such as by adopting Plan A the organization can have a lower cost of the processes in comparison with Plan B. The workplace team is agreed on incorporating Plan B as it can give higher return and is able to yield huge profits. But if analyzed from all other perspectives it is reliable to adopt the Plan A as after performing the SWOT analysis of both the plans it has been identified that in comparison on the basis of strengths and opportunities Plan A has extensive developing opportunities for the upcoming timeframe and it also holds strengths such as reduced labor cost, less investment, faster productivity and innovative approach. A pilot test could be suggested and the results can be used for analyzing that which plan possesses higher benefits and scope to be further developed. This pilot test can also help in supporting the managing decision and will able to provide a viewpoint of the higher authorities, manager, emplo yees as well as the customers. Further it can be stated that the decision should be based on the principle of majority where maximum number of employees give their support as well as which is most beneficial from the organizations perspective (mitre, 2016).
